Cashless Catering

Electronic Registration

Electronic registration can be implemented using several methods depending on the school’s or college's preference and their existing investment of technology.  OnRecord works equally well with proximity Mifare cards, biometrics, or web-based technology with wireless systems. . Cards can also incorporate bar codes for use with the library system, thus one single card is used throughout the various different functions within the school or college.  * Whatever identification method is chosen the attendance information is available real time online to authorised staff and parents and if required the MIS can be updated automatically.  OnRecord contains its own card production capability which means that most large schools and colleges can quickly and costs effectively produce their own cards. Mifare cards do not require encoding (like magnetic cards) as the unique number of each card is used as the identifier by OnRecord. The batch printing and processing feature can then allocate cards to pupils further saving on time

The solution can operate over a number of different ways, including dedicated readers in every classroom to monitor session and class attendance to small-scale deployment to sixth form areas only. A solution with a small number of readers is scalable to add further readers when required.  Detailed attendance reports are produced automatically and can be tailored using key search criteria the school or college MIS (SIMS, CMIS, and Integris etc) is used to input student and timetable details into OnRecord.  OnRecord can then be set to input actual attendance marks back into the MIS.  Card based systems can have school or college details and students photograph and ID details printed, including bar codes. 

The system is both flexible and scalable to meet any organisations requirements.  The system works multi-site and can be expanded to integrate cashless catering and access control modules of OnRecord

Access Control

While a completely secure area may be difficult to achieve without turning the school or college into something resembling a prison, it can be relatively easy to transform a school or college where students and staff can feel comfortable and secure in their environment.  Access to the site can be allowed to authorised students and staff using fingerprint or proximity readers for authentication. This will negate the need to carry keys or to replace locks when cards are lost or damaged.  In large schools and colleges it may be possible to install turnstiles or speedgates to allow larges numbers of students access at peak times.  Some organisations may prefer not to  have physical turnstiles in place but instead  choose to have security staff monitoring  large LCD screens connected to card  readers which can display each student*s  photograph and ID as they enter the  building to confirm validity of the card,  and of the card holder.  Using a combination of the above and with a connection to monitored CCTV, the site can be made more secure.  OnRecord's intuitive front-end makes access control simple to use and easy to manage.

Primary OnRecord

Primary schools spend significant time and effort reconciling cash payments for school dinners. A system is needed to work alongside the existing MIS packages like SIMS and Integris to add more functionality.  In addition to registration, teachers may have to provide accurate information as to how many different meals need to be prepared for that day, all of which erodes away teaching time.  While there is the potential for IT based solutions, it is impractical and unworkable for any automated system to provide young children with ID cards to identify themselves at registration and meal times.
